Submitting International Documents

Required academic records for all international college-bound student-athletes include documents such as transcripts or yearly grade reports and mark sheets, official leaving exam results or other academic documents. Please review the following information to determine the proper steps for submitting your required documentation.

International Documents

The following information can assist when submitting transcripts, graduation credentials, yearly grade reports, mark sheets or official leaving exam results to the NCAA Eligibility Center.

What you need to do

Ask your school to submit certified copies of your academic documents (and translated documents, if applicable) to the Eligibility Center.

  • Please note the Eligibility Center cannot return documents; submit certified copies only.
  • If English is not the native language, the certified copies of your documents translated by a certified translator must be submitted along with the certified copies in the native language. See the Non-English Language Transcripts and Documentation section below.

How Your School Can Help

High schools: International high schools and ministry offices may directly email official academic records for use in academic certifications to the NCAA Eligibility Center at ec-processing@ncaa.org. (Students with questions should use the International Contact Form.)

NCAA School Recruiting You: Please contact the compliance office of the recruiting school for information on their submission process.

  • All submitted documents must include the student’s name and NCAA ID number.

Please note the following cannot be accepted:

  • Academic records submitted directly by a student or his or her family member or other third-party advisor (either domestic or international).
  • Photocopies of documents sent by a third-party.
  • Documents sent by athletics department staff or coaches.
  • While submitting a PDF is best practice, password-protected PDFs cannot be accepted.

Non-English Language Transcripts and Documentation

If English is not the primary language of instruction at the school you attended, a certified line-by-line English translation for each of your native language documents must be provided to the NCAA Eligibility Center.

A professor of the language at the NCAA school recruiting you may provide a line-by-line English translation, with a signed cover letter (on school letterhead) stating the professor’s role at the school. If not available, ask your school for certified copies of your documents and have a qualified translator create word-for-word, line-by-line translations of the documents.

The translator must provide a letter including the following information:

  • Appropriate stamps or seals explaining his or her qualifications as a translator.
  • The translator’s full name, mailing address, telephone number, email address or other means by which the authenticity of the translation can be verified.
  • Please note: The translator may not be related to you.

Upon receiving the translations, best practice is that the documents (certified copies and translations) are submitted to the NCAA Eligibility Center by the admissions or registrar’s office of the school recruiting you, via upload to the student’s Eligibility Center account. The NCAA Eligibility Center does not accept translations made or sent by any non-NCAA college or university.

  • All submitted documents must include the student’s name and NCAA ID number.

Submission Options for International Documents/Transcripts

Please note: The NCAA cannot return submitted documents.

The following options are available for submitting academic records for international students. Before submitting any documents/transcripts, please ensure the student’s name and NCAA ID number are indicated clearly on each submitted item. Please note: The NCAA cannot return submitted documents.

  • Best practice is to upload documents as a PDF. Please note: Apple’s high-resolution attachment extension is NOT supported by our system.

Direct upload to student’s NCAA Eligibility Center account (available only to NCAA member universities and colleges and approved domestic high schools).

  • Best practice; information is immediately attached to student’s account upon upload.
  • While submitting a PDF is best practice, password-protected PDFs cannot be accepted.

Email: ec-processing@ncaa.org (Available only to international high schools, ministry offices and issuing bodies; translation services). Please ensure the student’s name and NCAA ID number are included in the email’s subject line.

  • Note: Certified documents must be emailed from a school or official email address. Emails submitted from general email providers, such as Gmail, Yahoo, Hotmail, etc., cannot be accepted. 
  • Please allow two days for processing from date of email receipt.

Mail: Documents must be sent from your school, governing body or entity, NCAA school or translation service.

Overnight/Express Mail (FedEx, UPS, DHL): Documents must be sent from your school, governing body or entity, NCAA school or translation service.
